Who We’re Looking For:

The ideal candidate would preferably have experience or knowledge in the Engineering, Machinery, Tooling, or Manufacturing industry. However, this is not essential.

You’ll be a charismatic, “people person”, who delivers a consistently high level of customer service, where nothing is too much trouble. You’ll enjoy building rapport with clients, strengthening existing relationships and gaining trust in potential ventures. Our small but busy team can be demanding, so the ability to stay calm under pressure and be organised is imperative. You’ll be proactive; a team player who can successfully prioritise tasks, whilst being just as effective working independently.

You will possess good computer and office skills, alongside a clear, calm and courteous telephone manner. You should be confident dealing with queries and taking customer orders.

The successful candidate will be:

• Process spare parts orders and book dispatch shipments through FedEx and UPS.
• Pack and prepare orders for dispatch to ensure timely delivery.
• Set up files for the Engineering Manager to generate accurate quotations.
• Accurately calculate and process quotations for products and services.
• Process high-value orders with precision and attention to detail.
• Handle inbound customer calls, assisting with new and existing orders.
• Manage and respond to customer email enquiries in a timely and professional manner.
• Liaise with hauliers and arrange deliveries, ensuring smooth logistics.
• Provide customers with order and delivery updates, maintaining excellent communication.
• File paperwork and maintain organised records for order tracking and quotations.
• Carrying out stock take with the spare parts.
• Following up with enquiries and quotations through phone call and email.

Role Requirements

• Previous experience in an administrative role, preferably within a sales or customer service environment.
• Excellent communication skills – both written and verbal.
• Strong organisational skills with the ability to manage tasks independently and prioritise workload effectively.
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
• Ability to provide a consistently high level of customer service in a fast-paced environment.
• Strong attention to detail and accuracy when processing orders and quotations.
• A professional and courteous telephone manner.
• Ability to handle customer queries, process orders, and promote services in a clear and professional manner.
• General office skills, including data entry and filing.
